ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Meet with the heads of departments to learn about the status of existing projects, and details about new projects being requested.
• Create a schedule for new jobs, and assign those tasks.
• Maintain an overall schedule of all design projects including review and approval cycles. Be skilled at defining drop dead dates and getting necessary meetings scheduled well in advance to keep things on track.
• Lead and coordinate external partners and internal team members to keep work moving and make adjustments as needed.
• Review current and future timelines and job statuses with the heads of department, and if necessary, the individuals working on the jobs.
• Reschedule projects based on new or changing priorities.
• Report to management about the current workflow and communicate any possible issues with too much work going to our agencies.
• Work with freelancers and temporary contractors, getting them up to speed on jobs they will have assist with.
• Track in-progress work and ensure necessary hand-offs are happening and deadlines are being met.
• Anticipate potential bottlenecks and come up with contingency plans
• Track invoicing especially when it comes to additional costs due to rush fees.
• Create spreadsheets to track important employee information.
• Transfer data from hard copy to a digital database.
• Update employee information in a database.
• Organize existing data in a spreadsheet.
• Verify outdated data and make any necessary changes to records.

QUALIFICATIONS:
• Very organized and detail oriented.
• Cool under pressure.
• People person who is a great relationship builder and can facilitate getting the necessary work done on the original schedule.
• Good judgment and ability to work independently.
• Exceptional customer service skills with a strong sense of urgency.
• High degree of adaptability to changes and ability to flex and adjust as necessary.
• Computer literacy with particular emphasis on Excel, PPT
• Previous experience as a traffic coordinator in an Advertising or Marketing agency/department preferred/highly desired
• Experience in coordinating work across teams and with outside vendors
• Proven ability to collaborate with all levels of the organization including VP and SVP-level
• Excellent communication and presentation skills
• Strong problem-solving skills
