Software Resources has an immediate job opportunity for an Executive Assistant. This role is Remote in the Burbank, CA area until further notice.
Must be available to work hybrid when they decide to set that schedule.

IMPORTANT. Overtime is required as the executive works in many time zones on a daily basis.

Description:
Candidate will be assisting in both domestic and international matters for multiple lines of business including Television, Streaming, theme parks, Online, digital distribution, Consumer Products and international collecting rights societies. Candidate must be extremely detail-oriented and organized with an ability to multitask. Environment is demanding and fast-paced and involves preparation, revision and distribution of time-sensitive legal documents. Great communication skills, ability to prioritize and ability to deal with multiple deadlines is a must. Ideal candidate has great credentials and interest and knowledge in learning about multiple businesses and music legal and business affairs.

• Manage a heavy volume of incoming emails and determine the action required based on the level of urgency of a specific project and/or instructions of supervising attorney.
• Maintain and manage a follow up system of emails to keep track of pending responses while simultaneously keeping track of incoming emails to ensure that there is no duplication in the process.
• Maintain and manage back up documentation for a high volume of projects in various phases of the negotiation process.
• Assist with redlining agreements, fixing formatting issues and preparing redlined agreements for execution form using MS Word 2007 and Adobe Professional 10.
• Prepare contract distribution of incoming contracts and tracking a high volume of agreements in different phases of the signature process.
• Maintain status reports for various projects and save fully executed contracts in electronic database.
• Responsible for general office duties including but not limited to answering/screening calls, calendaring (i.e. meetings, international calls), expense reports, contract distribution, photocopying, and managing incoming mail.

** The company requires on-site workers to be fully vaccinated absent a legally required exemption approved by the vendor. Exceptions to the vendor vaccine requirement apply in states that have laws concerning employer vaccine mandates. Vendor must ensure that any unvaccinated workers follow applicable safety protocols when they are on-site. Specifically, for any of their workers who are not verified as fully vaccinated, it is the vendor's responsibility to ensure that at all times when performing services on-site at a U.S. location or property, those individuals, at a minimum, will wear a disposable face mask certified by ASTM International with an ASTM Level 1 or higher rating (to be changed every day). If the individuals regularly work within three feet of others, the vendor must also implement a secondary mitigation measure such as a face shield or safety glasses. Please note that workers may only remove the face mask if the worker is alone in an office with the door shut, or the worker is six feet of distance from others and actively eating or drinking. Additional safety protocols may be required, as determined in the sole discretion of The Company or its affiliates. If requested, the vendor must inform its contact of any safety protocols the vendor has implemented for any of its workers while on-site at a location or property.

Basic Qualifications:
• Candidate should have a minimum of five years of administrative experience with a strong knowledge of the music recording, licensing and publishing industries.
• Excellent analytical skills with the ability to exercise appropriate judgment in executing tasks and able to take initiative to keep the work flow moving.
• Detail-oriented, with proven organizational and prioritization skills is a must to manage this busy desk.
• Ability to multi-task a variety of projects and manage a continuous stream of incoming emails and contracts.
• Computer proficiency with MS Word, Excel, PowerPoint, Adobe Professional and Outlook
• Team player attitude with the ability to interact with multiple levels of employees and clients within and outside the organization and the ability to work with and assist the other assistants and executives in the group.
• Effective communication skills in both verbal and written form.
• Must possess enthusiasm, flexibility and creativity and be willing to assume challenges with poise and increased responsibility.
• Must have excellent professional judgment and discretion.
NOTE: There are highly confidential materials that must be handled with complete discretion.

Preferred Qualifications:
• Prior contract administration, paralegal and/or business affairs experience
• Experience at a high traffic, executive legal desk, record label, music publishing Company or law firm a plus

Required Education:
Bachelors degree or equivalent work experience
