This role is in the NYC area and will be hybrid at some point. There could be approx 10 hours week of Overtime.

Description:
The Executive Assistant will provide administrative support to the Head of Documentary at ONYX Collective. Responsibilities include executive scheduling, travel & expense reports, meeting setup, event planning, and other administrative support as needed. The position requires a professional communication style, close attention to detail, excellent organizational skills, and the ability to juggle multiple high-priority requests and meet tight deadlines. It requires a high level of integrity and discretion in handling confidential information and professional etiquette to represent and interface with senior executives inside and outside the Company. Seeking poised self-starters who can anticipate needs and handle confidential information, offer creativity to initiate enhancements, maximize work products, drive work products, showcase action-oriented follow-through, master technology, be flexible with work schedules, and meet impromptu demands.
• Provide day-to-day administrative support to the Head of Documentary at ONYX Collective.
• Perform administrative duties including, but not limited to, screening and routing phone calls, managing schedules, processing expense reports, and ensuring timely and effective communications
• Provide additional office support such as distributing mail, filing, faxing, photocopying, scanning and tracking documents, ordering supplies, and processing purchase orders
• Coordinate the planning and execution of in-person/virtual events and business travel, including trip logistics and itinerary, meeting coordination, and remote support of executives who are out of the office
• Create PowerPoint and Keynote presentations
• Pull reports and maintain databases
• Support special projects, promotions, events, and programs, as needed
• Interface with various internal departments and external organizations
• Participate in an administrative team, providing backup to other assistants and contributing to day-to-day coverage of administrative duties

* The company requires on-site workers to be fully vaccinated absent a legally required exemption approved by the vendor. Exceptions to the vendor vaccine requirement apply in states that have laws concerning employer vaccine mandates. Vendor must ensure that any unvaccinated workers follow applicable safety protocols when they are on-site. Specifically, for any of their workers who are not verified as fully vaccinated, it is the vendor's responsibility to ensure that at all times when performing services on-site at a U.S. location or property, those individuals, at a minimum, will wear a disposable face mask certified by ASTM International with an ASTM Level 1 or higher rating (to be changed every day). If the individuals regularly work within three feet of others, the vendor must also implement a secondary mitigation measure such as a face shield or safety glasses. Please note that workers may only remove the face mask if the worker is alone in an office with the door shut, or the worker is six feet of distance from others and actively eating or drinking. Additional safety protocols may be required, as determined in the sole discretion of The Company or its affiliates. If requested, the vendor must inform its contact of any safety protocols the vendor has implemented for any of its workers while on-site at a location or property.

Basic Qualifications:
• A minimum of 2 years of administrative experience in a high volume entertainment desk at a studio, network, production company or agency.
• Strong understanding of the television programming process.
• Excellent written, verbal, and interpersonal communication skills.
• Approachable style and ability to effectively and professionally interface with high-level executives, clients, employees, and business associates, both internal and external
• Strong organizational and time management skills
• Proven experience in multitasking and working with multiple people and priorities while delivering on high-quality results and follow-through
• Demonstrates curiosity, business acumen, and a desire to understand the 'big picture'
• Demonstrates flexibility and professionalism in an environment where change is constant
• Proven ability to handle confidential and sensitive information in a professional manner
• Self-starter, with the ability to work with limited supervision, exercise good judgment, anticipate issues, and proactively problem solve
• Excellent attention to detail and accuracy
• Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Keynote, and Outlook), Zoom, Google Drive, and SAP
• Ability to manage various reports and presentations for the department

Preferred Qualifications:
• Experience supporting senior-level executive(s) in a corporate environment preferred.
• Interest or background in documentary film.

Required Education:
Bachelor's degree or equivalent combination of work exp
